Settings: User Administration

Overview

The User Administration section provides admins with their subscription details such as billing date and license count. Admins can also manage their user details and permissions, purchase more user licenses, invite new users, deactivate users, and reassign user data in this section. 

License Management 

The top of the User Administration section shows you the following Spiro subscription details:

  • Subscription owner whom you can change if needed with the "change owner" button. This owner will receive billing emails, such as invoices and renewal notices
  • Next billing date
  • Number of licenses associated with your subscription
  • Available licenses left for you to assign out to new users. See below on how to invite a new user if you have licenses available or how to purchase more if you have none available

Invite Users

Admins can invite new users and set permissions under settings > user administration.  If you have available licenses, you are able to use the "Invite User" button to add new users. If you do not have available licenses, you will need to select the "Buy License" option. You will then receive an email explaining next steps and someone from Spiro's team will let you know when you are able to invite the new user(s). You may be charged a prorated amount for each new user of Spiro.

Upon inviting a new user, you can choose their role/permissions. Check out this article to review our list of permissions. 

Invited users will automatically receive an email with a link to set their password and access their account. Keep in mind that this email can only be opened once and the activation link will expire after 24 hours. To request a new activation email please email support@spiro.ai

Update Users

To update a users role/permissions or manager, scroll all the way to the right and click on the 3 dots next to the user you wish to edit. You are also able to resend invitations, reassign a user's resources (for example, if they leave the company and another user is taking over for them), unlock their account if they've entered an incorrect password too many times, or deactivate their account.

You can update details such as name, email, title, etc. in this section. You can now also grant admin access to other users in this section in the bottom right corner of the Edit User screen. 

The "Group" field is used to assign different Smart Assistant Rules to that user. You can read more about that here.

Remove Users

To deactivate a user, click the three dots on the right-hand side of the screen next to the user you wish to deactivate and select. To view a list of deactivated users, click on the User Status header to sort. Once you deactivate a user, historical data (such as timeline interaction and closed opportunities) and their contacts, companies and opportunities will remain in Spiro under their name. Transfer User

If you would like to transfer all contact, company, and open opportunity data to another user upon deactivating a user, click on "Reassign Resources." Then select the user you would like to transfer the data to. Once you do this, historical data, such as timeline interaction and closed opportunities, will remain in the old user's name for your records. 

Unlock a User's Account

If a user has been locked out of their account due to 5+ failed password attempts, you can unlock their account by selecting "Password Unlock."

User IDs

User  IDs are unique identifiers that can be used to import data for your team. When importing data, insert the User ID instead of name in the User ID column to assign a company/contact/opportunity up the import.
