Settings: User Administration
Overview
The User Administration section provides admins with a way to manage users and user specific add-ons. Admins can also manage their user details and permissions, purchase more user licenses, invite new users, deactivate users, and reassign user data in this section.
License Management
The top of the User Administration section shows you the number of each license type associated with your subscription, how many are taken, and how many are available.
If you would like to add more of any of the licenses types, you can press the + sign in the associated widget. That will open a modal where you can select the number of licenses you would like to purchase.
Manage User Add Ons
After you buy Notetaker or Phone licenses using the widgets at the top of the screen, you can assign them to specific users by navigating to the Active Users tab and scrolling to the Notetaker and Spiro Phone columns. Here, you can easily assign a licenses and then add a phone number for Spiro phone.
Manage Users
You will now see three tabs in the Users table.
Active Users - these users have current access to Spiro.
Suggested Users - These are users that have either requested access to Spiro or have been recommended by the Spiro AI.
Deactivated Users - this tab shows all users that were deactivated.
Update Users
To update users, you have the option of doing it user-by-user or performing a mass action.
Single User Updates
To update a user's role/permissions, activity visibility or manager, navigate to their name in the user list either through scrolling or searching. Once you find the line, you can make changes in the list view.
If you want to update fields that do not appear in the list view, click the user's name in the left-most column to open the drawer.
Update Multiple Users
If you need to perform an update on multiple users, select multiple users by checking the box next to their name. Then click the MORE menu on the left side of the toolbar to see available mass actions.
These are the mass actions you can currently perform:
Invite Users
Admins can invite new users by clicking "Invite User" on the top right side of the screen.
Invite Manually
Click "Invite Manually" to invite one user at a time. Make sure to select values for all of the required fields below with a * next to the label.
Role - this relates to record visibility. You can checkout this article to learn more about how Roles work.
Email/Calendar Visibility - this setting relates to activity visibility in Spiro. You can learn more about the options in this article.
Group - Group refers to the organizational group which we use for Assistant Rule and activity visibility. These are customizable by your admin.
Import Users
If you have to add more that a few users, it might be easier to import. Select "Import Users" and upload a CSV with all of the New User information filled out.
Remove Users
To deactivate a user, click the User's Name in the Active Users table. Click the MORE button in the bottom right hand corner of the drawer and select "Deactivate"
Once you deactivate a user, historical data (such as timeline interaction and closed opportunities) and their contacts, companies and opportunities will remain in Spiro under their name. Check out the next section of this article to learn how to transfer their data to another user.
Transfer User
If you would like to transfer all contact, company, and open opportunity data to another user, use the "Reassign Resources" button. For Active Users, you can open the drawer and click on the MORE button and select "Reassign Resources." For deactivated users, navigate to the Deactivated Users tab, then open the drawer and select the MORE button from there. Once you're on the Reassign Resources modal, select the user you would like to transfer the data to and press "Reassign". Once you do this, all companies, contacts, and open opportunities will be reassigned to the new users. Don't worry, historical data such as timeline interaction and closed opportunities will remain in the old user's name for your records.
Unlock a User's Account
If a user has been locked out of their account due to 5+ failed password attempts, you can unlock their account by selecting "Password Unlock."
